Membership Coordinator:

The membership coordinator is responsible for creating and implementing a membership roster for the current school-year. Host two membership drives throughout the year. In addition, assist the PTSA in promoting membership sales, provide membership reports at PTSA meetings, manage and oversee memberhub.

Room Parent Coordinator:

The room parent coordinator works closely with the volunteer coordinator to coordinate room parent representatives to build stronger family-school partnerships and to support student success. Collaborates with all involved to identify how parents can get more involved at school. Assists the volunteer coordinator in the recruitment and training of Room Parents for a classroom. Promotes PTSA goals, membership,meetings, and helps recruit other class parents for activities on campus.

Spirit/School Store Coordinator:

The spirit/school store coordinator designs (in collaboration with the school's graphic designer),orders shirts, sweats, and other items with the BMV logo and coordinates the sale and distribution of all merchandise. Sales typically occur at the beginning of the school year with additional sales during PTSA events. On-line sales are ongoing throughout the year. The chair is also responsible to maintain inventory Control.

After School Enrichment Programs Coordinator:

The after-school enrichment program coordinator identifies & schedules the independent contractors who lead these programs at BMV on school days. In addition, the coordinator works closely with school staff to make sure all rules and guidelines are followed. These programs allow BMV students to participate in a variety of paid after-school activities onsite, some of our past activities are; art, Spanish, sports, aviation, magic, computer-related activities, etc.

Hospitality Coordinator:

The coordinator works closely with other event chairs to identify when their engagement is needed. The coordinator arranges all food set-up and decorations for all necessary PTSA related events. 

Adopt-A-Class Coordinator:

The Adopt-A-Class coordinator works closely with room-parents, social media coordinator & corresponding secretary to educate the parents, grandparents, community, etc. about this important program. 100% of the donations are used to support classroom teachers with purchasing materials and supplies for students which enhance classroom learning opportunities. PTSA's goal is to ensure that ALL Teachers, Electives & Specials are adopted each year.

The Adopt-A-Class coordinator is responsible for creating and maintaining a roster for the current school-year. The coordinator will also provide participation reports at PTSAmeetings, record payments, names of adopted teachers & other relevant information.

 

Committees & Chairs

General duties & responsibilities

Leadership-The chair provides leadership for the committee and sets the agenda for meetings identifies new initiatives when necessary and manages meetings in line with the agenda.

Engagement- The Chair should recruit volunteers and encourage members to engage and initiate new projects when needed. Ensure that new initiatives & existing issues are properly debated, and an agreement is reached. Some committee members will be better at expressing themselves than others; it is important that the chair welcomes contributions from all members of the committee so that everyone feels involved. The Chair will ensure that all new members feel welcome and their contributions valued. The Chair will introduce them to the other members and encourage them to play an active part in the discussions at committee meetings.

To ensure the smooth running of meetings the Chair must remain impartial and make sure that all parties have a voice and the opportunity to participate in decision- making.

Executive Board & Principal Approval- The Chairs will work closely with the PTSA executive board in decision makings and new project approvals/implementations. Before implementing any new ideas or projects, the chair/coordinator must present it to the executive board for approval.

 

Community Relations/Outreach Committee:

The chair is responsible for establishing relationships and partnerships with outside individuals and organizations to promote community involvement in our school. The chair will also educate and promote sponsorship opportunities & school programs. The chair is encouraged to attend local chambers of commerce meetings & other community social events. In addition, the chair will review and analyze current outreach strategies and determine effectiveness and potential for continuation or enhancement.

  • Sponsorships & Banners Chair: The chair is responsible for creating and implementing a roster for the current school-year of all parties who have sponsored an event/banner. In addition, assist the PTSA in promoting & advertising the cause, providing reports of participants at PTSAmeetings, recording paid amounts & keeping track of which type of sponsorship was selected. Making sure the banners are hung appropriately in the car loop and displayed at school events and website when appropriate.

Grant Writing Committee:

Grants keep our garden growing, our technology updated, and our teachers excited to teach!

If you're a good writer and willing to spend some time researching and writing grants for various school projects, we need you! Grants range from small (a few paragraphs) to larger scale (several pages). The committee searches for interesting grants that will support school needs or will respond to requests for support on writing grants that have already been identified. The grants may be in the area of technology, science, gardening, the arts, or wherever there is a need. The Chair will communicate with the PTSA, school principal, and teachers to determine if there is need for grant funding in any specific areas. Search for appropriate grants that will enhance the school and student learning. Provide teachers with support in applying for a Donor?s Choose grant, possibly through a staff meeting presentation, and working with teachers one on one when needed. Gather the school background and demographic information needed to fill out the grant applications. Apply for grants. Delegate grant writing/research to committee volunteers.

Academic Enrichment Committee:

The Academic Enrichment Committee is responsible for promoting educational experiences that go beyond the classroom and that provide another learning dynamic to a student's education. The committee's main focus is to identify these programs & implement them at BMV.

  • Book Fair Chairs: This committee promotes a love of reading by organizing 2 book sale events through the school year to encourage & promote reading. Each year our Book Fair team transports us to another world where we get lost in books! The Book Fair team also hosts Literacy Night which is a fun night of book shopping, food, and activities.The chairs work with other volunteers to coordinate, set-up, check out and clean-up after the event.
  • Author Visits chair: Committee Chairs & members assist BMV teachers with identifying and scheduling practicing artists for on-site visits to describe their careers and the inspiration behind their work.
  • Publix Math Night Chair:The chair will coordinate with Publix one family event during the school year and help promote it. Students will experience how math connects to the Real World! Families will search the aisles for answers to math questions and apply their math skills on an activity sheet.

Photography Committee

  • Yearbook ChairThe chair oversees the general operations of the yearbook throughout the year to make sure everything is going as planned. Maintains contact with BMV Photographers and Pictavo. Works with social media chair & other appropriate members to spread the word on how to submit photos for yearbook. Selects final photos & populates in yearbook. Works with school administration to ensure that any children who cannot appear in the yearbook are removed.
  • Photography Chair: Ensures that important events are documented with photos throughout the year. Submit photos for yearbook & to social media chair.
  • Picture Day ChairAssist the professional photographers and staff on the day that school pictures are taken.
  • Graphic Designer ChairThe chair uses visual concepts and creative art to promote school events and projects.

Environmental/Green Initiative Committee

Design and implement various programs involving waste, recycling, and conservation. Work closely with district committee, parents, students and faculty. Oversee existing fundraisers and when needed identify and implement new fundraisers to support green causes at school.

  • Green Gardening CommitteeThe garden committee oversees all the activity in the garden and helps coordinate the different groups using the space available. The garden committee works with school teachers & staff when planting the garden and delivering the educational programming. Although certainly not solely responsible for actually completing all the work that needs to get done, this committee makes sure that everything is under control and provides gentle reminders to participants who need it.

 

Health & Wellness Committee

The committee is essentially an advisory group concerned with the health and wellbeing of staff and students. Certain factors in a school environment can positively influence the health & wellness of students and improve academic achievement. Some examples of these factors include access to healthy foods, health screenings and opportunities to stay physically active. The committee will oversee current programs in place, when appropriate initiate new ones and will be responsible for promoting the school?s goal of keeping BMV families healthy.

  • Memorial's Partners in Education (PIE) ChairThrough our partnership with Memorial Healthcare Systems (MHS), a BMV parent who is also an employee at MHS will act as the liaison and coordinate various educational programs/seminars such as: antibullying, bike safety, CAB's of CPR, home alone/safe alone, teddy bear clinic, stop the bleed, and many others. These programs/seminars are geared for students, parents & staff.
  • Health ScreeningThe Chair coordinates with the school nurse in the use of an outside agency to perform lice checks on all students during the school year, typically in the beginning of the school year and immediately after school vacations.
  • Farm to School ChairThe chair will work with school staff to bring farm to school program to BMV as a new initiative. Farm to school enriches the connection communities have with fresh, healthy food and local food producers by changing food purchasing and education practices at schools and early care and education settings. Students gain access to healthy, local foods as well as education opportunities such as school gardens, cooking lessons and farm field trips.   • Field Day ChairThese events promote physical activity and teach students that staying fit can be fun. These school-wide events are held during the school day. The chair assists the PE staff by organizing volunteers to supervise events, keep scores, etc. The chair will also help promote the events and work with the room parent coordinator to make sure that all classrooms have donated drinks and snacks for these events. Encourage parents/grandparents to be supportive spectators or pitch in and help.

Safety & Security Committee

This committee assesses, makes recommendations, and follows up on safety and security upgrdades around the school. When appropriate, the committee creates new initiatives to implement a safer & secure school environment.

Events & Fundraisers Committee

Several subcommittees function in order to provide much-awaited fun activities for BMV students. During fundraising events the role of the committee is to raise the funds needed to meet the proposed unit budget and to work cooperatively with the PTSA and other event chairs in organizing and overseeing fundraisers. The committee will also identify new fundraising opportunities and initiate new events and activities throughout the year.

 

  • Annual Carnival Chair: BMV hosts an annual carnival. This committee organizes the BMV carnival, a fun-filled family day that includes food, games, and raffles with each school class running a booth or activity.
  • Annual Evening Benefit Chair (Adults only event)This committee plans and implements an important evening function that serves as a fundraiser for the year and includes an auction as well as class raffles. The chairs is responsible to secure a venue, DJ, etc.
  • BooFest Chair: The Chair will work with other volunteers to organize & coordinate all aspects pertaining to our annual themed Halloween event! The chair will recruit families who would like to decorate their cars for trunk-or-treat, secure a DJ, and any other appropriate entertainers. In addition, collect donated candy from school families in advance of the event. A creative "candy monster" donation station set up in the school reception area can also help build excitement for the event. You may also ask the people who decorate their cars to set up small, carnival-type games for kids to play, such as a ring toss, bowling, or shooting a foam basketball. The games should be short and easy enough for young children to play. Children who win the game can be given small prizes or candy; however, all children should receive candy at each station, regardless of how they did on the game. You may also add some fun by reaching out to other schools in the community and inviting the high school band, cheerleaders, and mascot to perform. Have a drawing for tickets to upcoming school musicals. Invite booster club to raise money by selling ice-cream or refreshments, drama club to raise money by face painting or ask the art teacher to show kids an easy Halloween-theme craft. Set up a backdrop for a photo booth and encourage people to pose with these Halloween photo booth props. Consider inviting food trucks or a BBQ vendor to grill.
  • Color-a-Thon Fundraiser Chair:color-a-thon fundraiser is a fun school walk/race that raises money for PTSA programs. Participants commit to dancing/running/walking a certain amount of time to raise money for the cause. The participants are asked to seek donations and pledges before the event from their friends, neighbors, and family.

 

Cultural Arts Committee

 

  • Off the Canvas Event Chair

Off The Canvas is a combination of art history and arts and crafts program. Off The Canvas seeks to cultivate a sustained awareness and interest in art by exposing children to a variety of artists and medium.

Off The Canvas is a volunteer driven program. The goal is to have an Off The Canvas volunteer (or two) in each classroom. This volunteer works under the direction of and in cooperation with the Off The Canvas chairperson and the classroom teacher.

Once a month, the volunteer presents a various display of arts and crafts to the class through the use of library books, posters, laptop computers and/or the promethean board. The volunteer will highlight the significant aspects of an artists' or craftsmens style and life as well as lead discussions with students about the art or craft. In addition to the presentation, the volunteer will provide a hands on art or craft project that coincides with the presentation.

Teacher/Staff Appreciation Committee

  • Teacher/staff gifts CommitteeComes up with creative ideas for gifts, for teachers, staff & administration. Puts together the gifts and delivers the gifts to them before the holidays & end of the year.
  • Teacher/Staff Appreciation week CommitteeEach year, in May our amazing chairs create a theme and fun activities as a way to show our appreciation to the teachers & staff! One of the most fun weeks of the year!The chairs collaborate with hospitality committee to decorate, organize & order meals/treats. They also recruit volunteers when needed.

Upper School Committee

The chair person is in charge of delegating tasks to the rest of the team. Consult with the teachers/staff in charge of helping with the dance and make sure to include them in all your decision making along the way. Collaborate with PTSA treasurer about the budget for your social events and remember to refer to it as you plan! Choose a theme that is fun and exciting. Entertainment can make or break your dance. Prepare to spend a good portion of your budget on music & hire a good DJ. If your budget allows, you could even have a photo booth set up. The photo strips make for great party favors! Now that you've planned an amazing dance, you've got to let everyone know! Delegate a member of your committee to be in charge of tickets and publicity. Start putting up posters and designing tickets as soon as possible and remember to factor ticket sales into your budget. Help keep energy high at the dance by offering a few snacks and drinks to keep them going. Keep your budget and guests happy by asking for parent volunteers to bring a variety of snacks & drinks.
